Administrative Assistant, Litigation Support

We currently have an opening in our Global Operations & Innovation Center (GOIC) in Wheeling, WV.

What is a Project Assistant? Acting under the direction of the Orrick Analytics Litigation Support Management, the primary responsibilities of this position are to oversee case specific litigation support needs, acting as a consultant for attorneys and staff in the development and support of case automation needs and implementation using litigation support tools. You will support others with document collection, review and production in connection with internal and regulatory investigations and civil actions, focusing primarily on the organization and preparation of case materials and administrative functions as required.

Specific duties may include the following:

  • Provide vendors with instructions on how to process and produce documents.

  • Analyzing electronic media to determine content and methodologies for next steps.

  • Supporting the development of workflow and procedures documents.

  • Maintaining chain of custody.

  • Assisting investigative and litigation staff in the use of litigation support software tools.

  • Assist with in-house production preparation if outside vendor options are not available including: processing, stamping, exporting, load file creation/manipulation, txt preparation, OCRing, encrypting, etc.

  • Maintain case SharePoint sites and perform document uploading and indexing.
  • Aid attorneys in preparation of privilege logs and production of documents to regulatory agencies and civil litigants.

  • Perform electronic searches for defined terms using databases, deposition and document searching software.

  • Prepare document indices, compile and index deposition transcripts and exhibits.

  • Review documents for basic facts or names and perform redactions, when necessary.

  • Craft special reports of project staffing, productivity, and/or budget information.

  • Maintain collection of case statistics for future budget development.

  • Maintain contact with staffing agencies regarding contractor availability and Orrick Analytics staffing needs.

Job Requirements:
  • A bachelors degree is a plus or equivalent combination of education and experience.
  • Advanced experience with Excel is strongly preferred.

  • Familiarity with data processing, review, and production platforms is strongly preferred.

  • Strong process and personnel management background with 2 -3 years of experience in progressive positions of responsibility.

  • Candidates need to be detail-oriented, have a flexible work schedule and demonstrate excellent organizational, verbal and written communication skills.

  • Ability to become familiar with the procedures, terminology and documents relating to complex litigation matters.

  • Strong analytical skills and the ability to identify and index case-related documents.

  • Ability to work effectively and proactively within a team environment.

  • Excellent computer skills with proficiency in Microsoft Word and Excel and databases.
  • Strong time-management skills and the ability to work under pressure in a fast-paced environment; ability to coordinate multiple tasks concurrently.
