They will perform a broad range of administrative duties to support the daily business operation including planning and scheduling meetings, reviewing documents and planning events. This role requires the ability to take initiative, analyze many factors and use judgment to make informed decisions. They must be able to manage access to confidential business, associate, and candidate information and have the ability to multi-task, at times in high pressure situations. This role requires excellent communication with all levels of staff whether in person, via email or over the telephone. The role also requires excellent organization, time-management skills and ability to work with, guide and support others at various levels of the organization.\u003C/p\u003E\u003Cp\u003E\u003Cstrong\u003EMajor Tasks, Responsibilities and Key Accountabilities\u003C/strong\u003E\u003C/p\u003E\u003Cul\u003E\u003Cli\u003EIdentifies needs and initiates projects independently.\u003C/li\u003E\u003Cli\u003ESets priorities and procedures for accomplishing work, delegating responsibility as needed.\u003C/li\u003E\u003Cli\u003ECollects and compiles information, and analyzes data and displays in appropriate form for officer.\u003C/li\u003E\u003Cli\u003EReceives and reviews highly sensitive correspondence for officer. Maintains confidentiality and recommends solutions or actions required.\u003C/li\u003E\u003Cli\u003EResponds independently to routine correspondence under own signature or drafts response for officer\u0027s review on more complex correspondence.\u003C/li\u003E\u003Cli\u003EScreens telephone calls and visitors, and resolves routine and complex inquiries.\u003C/li\u003E\u003Cli\u003EMeets independently with or screens people before meeting with the officer.\u003C/li\u003E\u003Cli\u003EMay supervise a single or group of non-exempt support secretary staff, including hiring, training, and performance appraisal.\u003C/li\u003E\u003Cli\u003EControls calendar closely, with authority to determine who may be scheduled.\u003C/li\u003E\u003Cli\u003EAuthorizes approval for travel expense reports for officer. Reviews and questions where necessary expense reports of officer\u0027 s direct reports.\u003C/li\u003E\u003Cli\u003EApproves invoices and purchase requisitions under own signature.\u003C/li\u003E\u003Cli\u003EMakes complex domestic or international travel arrangements.\u003C/li\u003E\u003Cli\u003EOperates a variety of office equipment, such as a personal computer, printer, photocopier, transcriber, facsimile, scanner, or calculator.\u003C/li\u003E\u003Cli\u003EProgressively uses the features of one or more standard business software packages.\u003C/li\u003E\u003C/ul\u003E\u003Cp\u003E\u003Cstrong\u003ENature and Scope\u003C/strong\u003E\u003C/p\u003E\u003Cul\u003E\u003Cli\u003EProvides primary support to assigned Senior Officer/Officer.\u003C/li\u003E\u003Cli\u003EDirect reports may include one or more Administrative Assistants.\u003C/li\u003E\u003Cli\u003ETypically requires frequent persuasion or influencing of others.
