Administrative Specialist, Drug Safety

**Role Summary**

The Drug Safety Administrative Specialist p rovides high quality administrative support to scientists and Executive Leadership members within Drug Safety Research and Development. Essential to this position is the ability to manage own time commitments, complete routine assignments independently with a keen attention to detail and refers only new or unusual problems to supervisor.

**Role Responsibilities**

Major responsibilities may include but are not limited to:

+ Manages multiple Outlook calendars including proactive resolution of meeting conflicts.

+ Organizes domestic and international travel arrangements including flights, hotels, ground transportation, VISA processing (if applicable) for senior management and staff.

+ Participates on leadership team(s) and is responsible for drafting agendas, maintaining an agenda watch, recording minutes and actions and following up on action items.

+ On-boards (and off-boards) colleagues and contractors.

+ Maintains global discipline line SharePoint areas, organizational charts and distributions lists.

+ Understands and adheres to all Pfizer policies (i.e. travel, purchasing, leave, or knows where to get answers) and advises colleagues of known discrepancies.

+ Assists with recruiting including speaking with candidates and serving as POC, assisting with interview arrangements (i.e., travel, seminar set-up, expense reimbursement), family visits, coordinates with HR to arrange for relocation assistance.

+ Takes personal responsibility for quality of work.

+ Builds a good working relationship with colleagues at all levels in all departments and lines.

+ Understands how work in their discipline line impacts others and takes initiative to learn activities of other departments.

+ Organizes logistics for large organization meetings (ex. face to face meetings, group travel to conferences, socials)

**Basic Qualifications**

Minimum Education - High school diploma

+ Proven administrative experience, minimum 3 years

+ Demonstrates working knowledge and skills regarding general administrative functions used in support of supervisor/staff (i.e. telephone, internet and email etiquette), computer programs (i.e. MSOffice suite, Sharepoint, etc), Pfizer-specific programs (i.e. Ariba, Concur, etc) and can be expected to help others in these areas.

+ Exhibits problem solving skills/decisiveness

+ Displays strong written and verbal communication skills

+ Excellent time management skills and ability to prioritize own work and professional development.

+ Demonstrates ability to maintain a high level of attention to detail and accuracy.

+ Displays professionalism

+ Accepts responsibility for independent work output with minimal supervisory direction and review.

+ Consults with peers and other colleagues. Is aware of/can anticipate consequences of own actions.

+ Ability to be trusted with sensitive and confidential information.

**Preferred Qualifications**

Prior experience in the biotechnology, pharmaceutical or life science industry.
