POSITION DESCRIPTION

Position Title: Admission Clerk

Department: Business Office

Reports To: Business Office Director

Supervises: N/A

POSITION SUMMARY

Admission of patients by sign-in process by meeting with patients and / or their families. Hours do vary between 7am-10pm, between Monday through Sunday.

QUALIFICATIONS

High School education or equivalent experience / education with a minimum of two years experience in hospital admission department, business office, or equivalent relevant experience and / or education. Must have strong verbal and written communication skills, thorough knowledge of computer applications, strong customer service skills, ability to concentrate on task in high traffic area, maintain information as highly confidential, strong organization and priority setting skills, meet deadlines, attention to detail, empathy.

RESPONSIBILITIES/STANDARDS OF PERFORMANCE

General Responsibilities

  1. Adheres to facility standards concerning conduct, dress, attendance, punctuality, and meal & rest breaks.

  2. Maintains confidentiality of facility employees and patient information.

  3. Adheres to facility and department policies and procedures and complies with the Corporate Compliance Program and the Standards of Conduct.

  4. Maintains proper boundaries when interacting with patients and their families, visitors, professional staff, vendors, and co-workers.

  5. Offers and accepts constructive feedback in peer and supervisory relationships modifies behavior in response to feedback.

  6. Adaptability/Flexibility: Easily adjusts to changes in routine, assignments, and company/client needs.

  7. Demonstrates initiative by voluntarily recommending resourceful, alternative, or original ideas/procedures for work improvement or problem solution.

  8. Demonstrates effective time management skills by prioritizing tasks, anticipating needs, and making adjustments.

  9. Quality of work: Assignments are accurate, complete, and comply with objectives.

  10. Obtain Signature for patients being admitted and completes patient financial folder.

  11. Obtain photo ID and copies of Insurance cards from patients or family members.

  12. Ensures all admits have been properly reviewed and worked.

  13. Interviews patients and families to obtain accurate information regarding contact information and insurance information.

  14. Verifies documentation on admission is accurate and is entered correctly into MS4. (Guarantor on Adolescent patients is correct)

  15. Verify insurances.

  16. Faxes on Medi-Cal and Kaiser admissions.

  17. Enters authorization information into Midas and MS4.

  18. Acquire any missing documentation.

  19. Initiate and complete Medi-Cal application and submits to county liaison for individuals who could potentially qualify for state funding.

  20. Communicates with supervisor problems or potential problems regarding after-hour admitting process.

  21. Advises Business Office Director regarding status of patients admitted who are unfunded and might qualify for Charity or San Bernardino County Indigent program.

  22. Provides coverage for reception as needed for breaks.

  23. Advises Business Office Director of problems as they occur.

  24. Make packets for Doctors.

  25. File packets in the Business Office.

  26. Prepare daily Email/Upload to HGMG for Prior Days admits.

  27. Other duties as assigned.

PHYSICAL, MENTAL, AND SPECIAL DEMANDS

Reaching: Extending hand(s) and arm(s).

Walking: Moving on foot to accomplish tasks, ability to walk unassisted for a period of time. May walk for approximately 50% of shift.

Grasping: Applying pressure to an object with the fingers and palm.

Lifting: Ability to lift 30 pounds without assistance.

Talking: Must be able to communicate appropriately with all levels of the organization as well as any visitors, vendors and / or contractors.

Hearing: Ability to receive detailed information through verbal communication.

Repetitive motions: Substantial movements (motions) of the wrist, hands, and / or fingers.

Visual Acuity: This is a minimum standard for those whose work deals largely with preparing and analyzing data and figures, accounting, transcription, computer, excessive reading, visual inspection.

Other: Willing to work flexible hours if necessary to support coverage in department due to increased census or other unforeseen circumstances.

MACHINES, TOOLS, EQUIPMENT, AND OTHER WORK AIDES:

Telephone, fax machine, photocopier, word processing, computer and calculator.
