The Data Specialist ensures the security, integrity, and availability of advancement data. The position is responsible for performing and enabling a variety of data oversight and data management tasks to enhance and maintain Advancement data and processes in support of University fund-raising and relationship-building goals. Compiles and analyzes detail biographical and other publicly available information on individuals and organizations to determine prospects' relationship with the University, interests and giving capacity. Data maintained includes the contact, biographical, demographic, and financial information on alumni, parents, friends of the University, corporations, foundations, and other entities.

Data Projects
Enhance and expand constituent data by creating and executing complex imports, exports and integrations across a variety of University and external systems including Raiser's Edge, Colleague, and vendor-based data enrichment services. Provide input on strategy and procedures for data collection and maintenance. Review, make recommendations and assist with implementing third party applications that enhance data collection and Advancement work. Manage special projects like the collection process for parent data for first year and transfer students by working with Admission data imports from Colleague and Slate systems, gather and verify information from additional sources, and import into Raiser's Edge. Manage overall team's data entry efforts and ensure data integrity in these projects. Coordinate with the Corporation and Foundation Relations team to evaluate and manage top alumni employers and philanthropic prospects. Document complexities of corporate mergers and acquisitions and how it affects corporate philanthropic strategy and relationships.

Data Maintenance
Maintain all constituent records including adding new records, updating records, duplicate record merging, file clean-up, coding, and monitoring general data integrity to ensure all biographical information is appropriately obtained and kept up to date in accordance with best practice and organizational processes. Work with colleagues across the University to address, manage, and implement data enhancement and enrichment tasks. Generate standard research reports to identify and correct inconsistencies to assure data integrity. Track research activity to determine effectiveness of various research methods.

Training and Documentation
Create and maintain comprehensive procedural documentation for data entry and management processes. Routinely review and advise on changes or additions. Provide training and demonstrations to Advancement staff for both on-boarding and supplemental, project-based assistance.

Supervision
Recruit, interview, hire, train and dismiss, as needed, student employees. Supervise remote and in-person student employees; coordinate and schedule work assignments, delegate work, and evaluate performance. Process student paperwork and timesheets.

Performs all other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.


Bachelors degree is required in any discipline. 3-5 years of experience.

Excellent written and oral communication skills, efficient work habits, strong organizational skills, and strong attention to detail.

Must be able to maintain a high volume of data points from a variety of sources and understand connections within the University database.

Ability to work in a fast-paced environment and find solutions independently and as a member of a team.

Understanding of database functionality, preferably Raiser's Edge. Proficiency in Microsoft Office products (i.e. Word, Excel, PowerPoint, Outlook, etc.) and data systems.

Ability to maintain confidentiality and use discretion. Ability to support the University's goals for institutional diversity, as well as the goals and values of a Catholic, Jesuit education.
