What Youll Do

We are looking for a highly motivated Administrative Assistant to help a dynamic, diverse and growing team! In joining our team, your primary responsibility will provide support for calendaring, travel, and expenses, along with management and oversight of special projects for a Senior Director. Secondary responsibilities include providing calendar support for 3 additional BCS senior team leaders.

An outstanding candidate will operate independently and understand how to handle incoming asks for time, meetings, resources and other needs. Work should be considered critical and confidential in nature. Candidates should have excellent communications, organizational and prioritization skills. Due to the frequent engagement of the Executive and Senior leadership across Cisco as a whole, this individual will collaborate with and coordinate activities with other EA's and executives in Cisco.

  • Calendar Management: Runs Senior Directors complex calendar by prioritizing schedules and meetings. For example, may decide who gets on principals calendars, which meetings are attended, and who could attend in their place.
  • Meeting Planning and Organizations: Assists Senior Director in planning and organizing meetings by taking ownership for assembling the agenda, meeting technology (WebEx), and all other meeting logistics. May further prepare meeting briefing documents by taking and disseminating notes and formulating post meeting action item lists.
  • Correspondence/Approvals: Supports Senior Director by acting as proxy for communications and approvals as authorized. Answers general questions and refers (filters) routine matters to appropriate parties and follows up to ensure proper disposition.
  • Travel: Responsible for making travel arrangements for principal team members. Carefully considers and decides the optimum travel arrangements and itinerary for calendared meetings while managing Cisco expenses (once travel is reinstated)
  • Special Projects: Provides analytical support to assist Executive on special projects.

Who You Are

Minimum Qualifications:

  • 6+ years experience in an administrative environment.
  • A minimum of two years of experience supporting a principal who was at the Director level and above.
  • Great attention to detail and the maturity to handle confidential information
  • Advanced knowledge of Mac/Windows desktop computer applications: Outlook, Word, Excel, PowerPoint.
