The Benefits Manager serves as a first point of contact for benefit related questions, leave of absence requests (including FMLA), employee accommodation requests, employee relations issues as they relate to leaves, as well as oversight of employee off-boarding processes. As part of a lean HR team may also carry out responsibilities in other HR areas such as but not limited to: recruitment/selection, on-boarding, training, performance management, employee relations, labor relations, and payroll functions. This position requires an extremely analytical and perceptive person who is capable of relating to and communicating data to individuals at all levels within the organization. The Benefits Manager must be sensitive to college needs, employee and student goodwill, and overall brand equity of MCAD as an employer.


Benefit Functions:

  • Administer employee benefits, including but not limited to: Medical, Dental, Long Term Disability, Short Term Disability, Life, transportation benefits, Flexible Spending Accounts and Health Savings Accounts, and MCAD Retirement plans. .
  • Communicate and administer Tuition Reimbursement, Tuition Waiver Program and Tuition Exchange initiatives and opportunities.
  • Facilitates benefits related training to staff and faculty, serving as a first point of contact with benefit related questions.
  • Participates in annual benefit renewal. Plays a lead role in the planning and execution of annual benefits Open Enrollment.
  • Perform benefits administration including processing employee life events and new hire enrollments, disability claims resolution, benefit invoice reconciliations, and approving benefit invoices for payment.
  • Overseas benefits enrollment and life events in the MCAD HRIS. Escalates system related issues to HR Analyst and/or Paylocity as needed.
  • Update and maintain current benefit plan and program materials ensuring electronic communication to the community and appropriate forms are updated in accordance with current laws and practices.
  • Conducts benefit tie outs for each payroll to ensure that benefit deduction amounts and enrollments are accurate.
  • Administer MCAD 403(b) and SRA retirement savings plans, including tracking eligibility, managing enrollments, handling employee communications, processing roll-over and distribution requests, and submitting terminations and changes.
  • Foster effective utilization of benefit plans through education and by serving as liaison between employee, insurance carriers, 403(b) plan administrators, and broker partners.
  • Assists with annual 403(b) audits as needed, including pulling payroll and personnel records. Conducts occasional internal audits for eligibility and compliance.
  • Administers Workers Compensation, OSHA, and associated reporting in accordance with federal and state laws.
  • Administer self-funded state Unemployment Compensation program ensuring timely reporting, accuracy of determination, information review and payment of quarterly invoices. Represents MCAD for any unemployment claims.
  • Assists in the administration of annual employee engagement, benefits, and Total Rewards surveys.
  • Assist the AVP of Human Resources with annual planning and monthly communication of MCAD WELL+ Employee Experience and Wellbeing programming.
  • Researches and makes recommendations to the AVP of HR on ways to increase employee utilization of preventative care, EAP, and other available resources within existing benefit plans.
  • Partners with other HR Team members to increase employee engagement, and enhance the employee experience,, including making recommendations based on available resources in existing benefit plans.

Leave of Absence (LOA) Administration Functions:

  • Serves as the first point of contact for Leave of Absence (LOA) requests. Conducts intake meetings as needed. Prepares and sends required documentation in a timely fashion in line with required deadlines.
  • Overseas LOA tracking in HRIS. Escalates issues to the AVP of Human Resources as needed.
  • Communicates appropriate information to employees and their supervisors if an LOA is approved.
  • Provides appropriate additional employee support as needed, such as providing EAP resources, assisting with Short Term Disability claims if applicable, etc.
  • Enters paid time off onto employee time cards for bulk/consecutive dates of leaves of absence; instructs supervisors on how to enter paid time off for intermittent leaves.
  • Serves as a point of contact for the employee while on leave. Connects with supervisor and employee often on return to work arrangements.

Off-boarding Functions:

  • Sends off-boarding information to separating employees.
  • Conducts exit interview and works with HR Analyst on preparing report related to reasons for separation.
  • Analyzes data and makes recommendations to the management team for ways to make changes to enhance the employee experience, increase retention, and decrease unwanted turnover.
  • Submits COBRA qualifying events to third party administrator for processing. Monitors submitted qualifying events to ensure timely communication to the employee.


  • Provides guidance to the HRIS/Payroll Associate for critical reviews of bi-weekly payroll. Performs final change log and worksheet reviews of all payroll batches.
  • Develops and maintains documentation and standard operating procedures (SOP) for processes and procedures within scope of duties. Proactively adjusts for process changes and does annual review with AVP of HR.
  • May assist with the maintenance of digital personnel files for past and active MCAD employees including processing of new hires, status changes, promotions, transfers, and separations.
  • Responds to employee questions about benefits, policy, payroll, and HRIS system, looping in other HR team members as needed. Serves as subject matter expert for questions related to benefits and leaves of absence.
  • Partners with employees and management to communicate various human resource policies, procedures, laws, standards and other government regulations.
  • Maintains knowledge of and proactively stays abreast of changes to: COBRA, ERISA, FMLA, HIPAA, USERRA, employment law, PPACA, Title VII, Title IX, and other related state and federal laws and regulations, necessary.
  • Assists with job descriptions review as needed to ensure accuracy.
  • As part of HR team, administer multiple human resources plans and procedures for all company personnel in compliance with applicable laws and regulations; assist in development and implementation of personnel policies and procedures; prepare and maintain employee handbook(s).
  • Supervises annual audits and conducts spot audits as needed. Reviews and ensures compliance with USCIS Form I-9 Employment Eligibility Verification.
  • Proactively pursues continuing education and professional development in all areas of Human Resources Management. Researches and recommends to the AVP of Human Resources possible best-fit practices for MCAD.
  • As needed, acts as back-up for the HR Analyst and HR/Payroll Associate.
  • Carry out other duties and various research projects and/or special projects as assigned by the AVP of Human Resources.


This position has supervisory responsibilities as assigned by the AVP of Human Resources, such as temporary labor positions and oversight of the HR department on an as needed basis.


  • Bachelor's degree required, major in Human Resource Management or related field preferred.
  • Master's degree in Human Resources Management or related field preferred.


  • Two or more years Human Resources experience required.
  • Two or more years of related experience with benefits administration strongly preferred.
  • Some previous supervisory experience strongly preferred.
  • Proficiency with one or more HRIS systems required (e.g. Dayforce, PeopleSoft, ADP, etc.)
  • Advanced proficiency with Microsoft Office Suite (Excel, data tables, mail merge etc.) required.
  • Experience with a Higher Education environment preferred.
  • Strong problem solving skills and technical aptitude.
  • Ability to facilitate communication and collaborate across departments, including working closely with the Business Office and Information Technology department.


  • PHR or SHRM-CP Certification strongly preferred.
  • CEBS Certification preferred.
