You are a strategic, innovative Procurement Specialist ready to help clients optimize their business!


We are looking for a Facilities Manager for commercial site in Waltham, MA. You will supervise the account as the second in command manager and have full responsibility including supervision of others.

Key Responsibilities:


  • SME for R&D Indirect Procurement internal processes, Global Procurement processes, policies, and guidelines
  • Super User role for R&D and Commercial departments
  • Liaise with Contract and Global Resourcing teams to support the implementation of new processes
  • Dedicated Shopper for all R&D Warren site and backup for the UK shopper
  • Dedicated Shopper for all US R&D External Experts and HCP/HCO Purchase Orders
  • Liaise with Contract Teams to ensure all proper contract documents are available for the respective activities and vendors to ensure compliance for all POs
  • Create, change, and manage all Purchase Orders for Services, and Catalogue and Non-Catalogue items from end to end
  • Monitor, manage and approve all invoices for Services and Catalogue POs in SAP ECC and SAP Fiori
  • Use SAP to assist users with finance invoices discrepancies, purchase orders
  • Submit and monitor one time vendor, manual and urgent payments requests for Business Owners
  • Liaise with external vendors to assist them with PO inquiries, invoice inquiries, electronic invoice system registration and new vendor setups updates
  • Liaise with Accounts Payable, Procurement and Finance departments to resolve invoices, POs and vendors issues
  • Assist End users identifying company codes, cost centers, WBS elements, and G/L accounts to process NON-PO invoices
  • Troubleshoot possible delays for vendor payments via SAP ECC and escalate them as needed
  • Submit Vendor Master Record changes, New Master Vendor Record setup, Vendor Record extensions, and research for potential duplicates in SAP ECC and SAP Fiori
  • Assist End Users identifying preferred vendors and commodity codes
  • Generate procurement reports in SAP for end users upon request
  • Assist End Users and Executive Admins creating and troubleshooting Travel and Expense reports in Concur

  • Maintains a professional relationship with all coworkers, vendor representatives, supervisors, managers, customers, and client representatives

Position Summary

Serves as a direct point of contact for customers. Responsible for ensuring customers receive an adequate level of service with their questions, concerns and/or issues. Answers/responds to routine questions and inquiries from customers via the telephone, Internet, fax and other technologies, using established fact-finding procedures, customer service methodologies, knowledge of pertinent processes and procedures, and familiarity with policies, vendors and specified products/services.  Consults with or transfers more difficult issues to the Rep II or management.
