Performs a variety of administrative tasks in support of the activities of Development and Academic Coordination by providing direct assistance to and coordination between the Executive Directors, campus partners and other staff. Coordinates activities to increase department efficiency, promote institutional priorities and ensure smooth operation of the department.

Key Accountabilities
  • Provides direct administrative support for the Executive Directors of Campaign Initiatives and Academic Coordination. Exercising discretion and good judgement, proactively assists Executive Directors in managing diverse team priorities including addressing departmental requests and inquiries from internal/external constituencies, and briefing colleagues on important changes or matters needing priority attention. Schedules and coordinates meetings for Executive Directors utilizing scheduling tools, participating/taking minutes as necessary, and manages print and digital records for the team. Coordinates travel, prepares itineraries, and associated travel collateral. Maintains high level of collaboration and communication with staff, both in Advancement and institution-wide, to ensure smooth operations while representing the team in a positive and professional manner that is mindful to sensitivity and confidentiality. Provides administrative support for special events designed specifically to engage alumni/ae of Dartmouth. This may include coordinating logistics, AV needs, external services, managing invitation lists, assisting with menus, RSVPs, nametags, mailings, etc. 70%
  • Collects data from a variety of sources and prepares reports, proposals, presentations, and associated correspondence for Executive Directors. Supports data management needs of Executive Directors utilizing complex database systems (including Advance and data warehouse), Excel tools in daily operations to perform tasks, including extracting and synthesizing data to create special reports and presentations. Effectively and efficiently uses word processing, spreadsheet, Powerpoint and database management programs in daily operations to perform tasks. Exercises good judgment regarding the disclosure of confidential and sensitive information. 20%
  • Manages department budget and works closely with the Administrative Provost Finance Center and Advancement Business Operations to process and manage transactions, quarterly reporting, and year-end projections. 5%
