The International Center of Photography (ICP) is the world's leading institution dedicated to photography and visual culture. Through our exhibitions, education, public programs, and community outreach, we offer an open forum for dialogue about the power of the image. Since our founding in 1974, we have presented more than 700 exhibitions and offered thousands of classes, providing instruction at every level. Our new integrated center on the Lower East Side reunites our school and museum in one space to become the cultural anchor of Essex Crossing.

Position Summary:

The Development Coordinator is a vital part of the fundraising team. Reporting to the Director of Development, the Coordinator works closely with the entire ICP Development team to assist with achieving goals for support from individual, corporate, foundation, and government sources, as well as assist with fundraising events to help ICP meet its goals for philanthropic support. The coordinator serves a department generalist and works closely with the ICP Members, as well as across departments to ensure align fundraising goals with that of greater institutional goals. The ideal candidate is a dedicated, detail-oriented, highly organized professional with outstanding interpersonal communication skills and a passion for the culture of philanthropy.

Essential Functions and Duties:

Development General (33%)

Serve as the department generalist, working across fundraising areas to:

  • Independently process incoming gifts through the ICP website and Raiser's Edge database and create weekly transmittal to send to the Finance department.
  • Perform data entry and analysis for donor communications, event registrants, and other Development data collection needs.
  • Draft and track communications to individual and institutional donors including monthly pledge reminders, weekly stewarding updates, and bi-annually scholarship reports
  • Assist with Major Giving (Individual and Institutional) workflows as needed
  • Serve as department lead at weekly Interdepartmental meetings

Membership (33%)

Serve as the Coordinator for the ICP Membership program:

  • Draft and send weekly formal tax acknowledgment and membership communications via email
  • Serve as the public-facing point of contact for ICP Members
  • Manage membership communications in MailChimp, including Member event invitations, Membership renewals, Membership acquisition campaigns

Special Events (33%)

Serve as the Coordinator for ICP Special Events:

  • Manage the planning of cultivation events for ICP donors, coordinate with cultural institutions, guest artists, ICP members, and related internal staff members
  • Assist with event financial reports, budgets, guest lists, seating lists, seating materials, tracking of attendance lists, seating assignments, program listings, etc.
  • Assist senior Development staff with supporting effective committees, and staff, committee members, trustees and other volunteer participation.
  • Coordinate event print schedules for printed materials, i.e., invitations, programs, signage, name tags, seating cards, etc.
  • Coordinate event logistics, staffing, and volunteer assistance.
  • Coordinate with senior Development staff to manage correspondence, documents, and mailing relating to events.
  • Provide support including preparing and submitting event check requests, archiving event materials, storage and inventory of event supplies, shipping, and other support, as needed.
  • Create invoices and track payments for vendors and individual pledges.

Minimum Qualifications:

Education Requirement:

  • Bachelor's Degree, MA or Certificate in Arts Administration a plus

Minimum Experience Requirement:

  • 1-2 years' experience as a grant writer/fundraiser or development assistant with a cultural or other non-profit institution required. Experience in the visual arts or arts education preferred.

Specialized Knowledge, Licenses or Certifications required:

  • Experience using Raiser's Edge or similar database preferred.

  • Superior writing skills, adherence to very high standards for communication materials and data entry; consistent attention to detail; excellent organizational skills; and ability to prioritize, multitask, and meet deadlines.
  • Demonstrated ability to manage multiple projects, set goals, develop effective strategies for meeting those goals; and meet stringent deadlines.
  • Ability to work collaboratively and form solid relationships with internal and external contacts.
  • Understanding of the processes involved for the identification, cultivation, written solicitation, and stewardship of donors.
  • Ability to work effectively both individually and as part of a team.
  • Ability to work with all levels of staff to manage multiple programs demands.
  • Energy, enthusiasm, and creativity.
  • Comfort working with numbers, budgets, and financial reports.
  • Varied computer skills, including Microsoft Office, Internet research, Raiser's Edge, and some graphic design software.
