What You'll Do

We are looking for an Executive Assistant to support the Belux Managing Sales Director and Belux management team based in Belgium.

Your responsibilities include but won't be limited to:

  • Calendar Management: Manage calendar's for management team by prioritizing schedules and meetings.
  • Meeting Planning and events: Assist the Belux Managing Sales Director and other members of the Belux Leadership team, in planning and organizing meetings by taking responsibility for crafting the agenda, location, meeting technology based on participant needs, and all other meeting logistics (including collaborating closely with the Global Events Team when relevant). This includes weekly/monthly/quarterly team meetings as well as regular functional all-hands. Will take and disseminate meeting notes and formulate post-meeting action item list.
  • Correspondence/Approvals: Acts as a proxy for approvals as authorized. Answers general questions as necessary and refers (filters) routine matters to appropriate parties and follows up to ensure proper disposition. Takes initiative to resolve issues within specified policies and guidelines. Figures out when executive action is required and supplies a recommendation where appropriate.
  • Travel Briefing Preparation: Craft travel packs for international trips as well as large events. This work includes combining all event information in addition to coordinated logistics of travel and also compiling briefings of customer/external meetings from relevant team members.
  • Travel and expenses: Responsible for making travel itineraries and handling reimbursement of expenses in Ciscos tool.
  • Budget: Periodically responsible for raising Purchase Orders as per Cisco policies and approving payment of invoices.
  • Confidentiality: Deal professionally with sensitive and confidential matters and materials.
  • Office management: Act as the point of contact at the Brussels office and assist with the booking of rooms etc

Who You'll Work With

You will work closely with the Belux leadership team and also with the wider team within the Brussels office. Youll also work with Executive Administrators from all parts of Global Sales teams, building a network and sharing best practice.

  • You possess excellent organizational and administrative skill: Able to manage complex projects which affect the organization as well as day to day personal and business administration for the leadership team

  • Interpersonal & Communication Skills: able to communicate with people at all levels within the organization using different communication techniques as appropriate
  • Flexible and adaptive to change: able to respond positively to never ending changes which inevitably occur within a fast paced global company
  • Decision Maker: In executive's absence, exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions or making recommendations

You have experience in providing support at Director level and above. You take initiative, can handle a full desk with ease and thrive in a busy environment. Possess excellent communication skills with all levels of staff, executives, policy-makers, business leaders, employees and customers; and have good judgment.

Our minimum requirements for this role:

  • Native Dutch speaking and fluent in French and English
  • 5+ years experience in the administrative environment. Experience supporting Director level or above will be considered a plus.
  • Excellent track record of performance, with structured and organised work ethic
  • Experience in planning meetings and coordinating travel
  • Expert level knowledge of Windows desktop computer applications: Outlook, Word, Excel, PowerPoint
  • Keen interest in technology with good digital skills
  • Previous experience of working within a corporate global company is desired
