The Global Enterprise Services department is seeking a highly motivated, experienced senior level administrative professional with excellent organizational and interpersonal skills to report to the Senior Vice President & Head of Global Enterprise Services. Nature of work is varied. In addition to normal administrative job duties, you will provide backup support for other administrative assistants within Global Enterprise Services.


Maintain calendar for Senior Vice President
Schedule large and/or complex meetings with key customers and/or high-level executives
Create presentations and department organization charts using advanced software applications, e.g., PowerPoint, Visio, etc.
Draft responses for principal's review on routine correspondence
Screen calls and respond to routine and non-routine calls
Process monthly/quarterly vendor invoices
Process principals expense reimbursements
Coordinate business travel reservations for principal and provide backup support for business travel reservations for other employees as needed
Submit procurement orders as needed, e.g., supplies
Manage Business Continuation and Records Management process and activities for Department Administration team
Compliance training delegate for GES. Review monthly delinquent Compliance training reports and follow up with associates to ensure completion
Quarterly review of designated persons list; provide updates as required
Perform general administrative responsibilities (filing, copying, etc.) for principal
Coordinate machine maintenance required for managed print devices and maintain an inventory of equipment
Provide backup support for multiple Department principals
Provide backup support for the on-boarding, transfer, and resignation processes for associates joining/leaving the Department


A minimum of 8 years practical experience working for a senior executive or a team of senior executives.
A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity.
Attention to detail and ability to effectively prioritize work.
Strong organizational skills.
Excellent interpersonal and communication skills (written and verbal). Can interact with all levels in an organization, internally and externally, with a calm and friendly attitude, especially when dealing with difficult situations.
Excellent judgment and discretion required in handling highly sensitive, privileged and confidential information in a respectful manner.
Ability to work under minimal supervision, tight time constraints, and periodic high volume circumstances.
Understanding of Company Policies and Procedures for travel and expense
Willingness and ability to take direction from various sources required
Proficiency with MS Office Suite and Powerpoint presentations
Flexibility to work overtime as required
