The Prudential International Insurance (PII) Finance Segment supports the financial reporting and analysis of Prudentials insurance operations in Asia, Latin America, and Africa. The team is seeking an Executive Assistant.  The successful candidate must have a proven track-record supporting senior-level management in a fast-paced, dynamic environment. Success in this Executive Assistant role includes exercising superior judgment based on in-depth experience, exceptional time management skills, developing strong, collaborative relationships across multiple constituents to move things ahead, and always acting in the best interest of the PII Finance Organization and in all communications.

 
Extensive calendar management:
  • Manage the calendar with attention to detail and focus on ensuring prioritization of team objectives and key deliverables including handling logistics, anticipating technology needs, preparing materials (agendas, pre-reading), and tracking meeting attendees.
  • Proactively monitor calendar for conflicts or reprioritization, keeping your Principals informed of upcoming commitments and responsibilities, and making necessary adjustments
Meeting administration:
  • Scheduling large meetings with senior-level executives across PII and Prudential
  • Create and manage meeting agendas and materials 
  • Superior email management skills recalibrating work and commitments
 
Universal Skills & Capabilities:
  • Manage travel schedules most of which is International Travel, arrangements and itineraries in a timely, detailed, and organized manner.
  • Maintain electronic files for easy reference of meeting documents, presentations, etc. 
  • Process business expense vouchers, procurement requests and information security requests.  International travel and reimbursement of expenses requiring FX calculations.  Gatekeeper for travel/non-travel expenses.
  • Manage on-boarding process for new hires/transfers.  Involvement with office space planning.
  • Assist with the maintenance of business continuation plans.
  • Work closely with other executive assistants in PII Finance to provide a consistent, exceptional level of support.
  • Maintenance of supplies and addressing of facility requests
  • As part of the PII Finance Organizations Executive Assistant team, assist in the coordination of ad hoc departmental projects and offsite meetings (e.g., Town Halls) as requested.  Provide back-up for other assistants during leave/PTO.
  • Prepare reports using MS Word, Excel, and PowerPoint; Use of SharePoint and Teams
  • Ad hoc requests as needed.

Qualifications

  • Five to ten years of experience as a Senior Administrative Assistant/Executive Assistant supporting senior-level management.
  • Exceptional proficiency of Outlook, PowerPoint, Word and Excel
  • High level of integrity, discretion and judgment in handling highly sensitive, confidential information.
  • Resourcefulness and the ability to negotiate schedules and conflicts with other assistants and partners.
  • Proactive problem solver who thinks laterally to resolve situations and find the right answers.
  • Ability to handle heavy workload, mediating many demands and requests with proactive problem solving.
  • Able to see the big picture while maintaining strong attention to detail.
  • Strong project management skills; ability to work independently, and to manage multiple priorities under tight deadlines, in a busy, fast-paced environment.
  • Prior experience in the financial services industry is preferred, but not required
  • Bachelors Degree a plus.
  • Self-motivated; demonstrates initiative and anticipates issues, provides realistic solutions, employs sound judgment and makes timely decisions.
Flexibility to work overtime during peak periods.
