What You'll Do

You will provide support to the Vice President for calendaring, travel, expenses, correspondence and approvals, along with management and oversight of special projects. You will be expected to understand how to handle, with a great degree of independence, timely tasks, prioritization of meetings, and other needs from the VP while making sure nothing falls through the cracks. You will work in an organized and disciplined manner, be extremely proactive and have a professional and approachable demeanor in all interactions. You will demonstrate excellent communication skills with all levels of staff, high level executives, customers, vendors; and show sound judgment.

Responsibilities include:

  • Calendar Management: Manage VP's calendar by prioritizing schedules and meetings. For example, may decide who gets on principal's calendar, what meetings need to attend, who can attend instead.
  • Meeting organization: Plan and coordinate meetings, on and off campus, inviting relevant stakeholders, accounting for location, technology, meals and all other logistics.
  • Travel: Responsible for making travel arrangements frequently, both domestic and international. Works diligently to go above and beyond to carefully consider the optimum travel arrangement and itinerary for the VP, and coordinates all aspects of the business trip. Prioritizes meetings as well as customer/team asks during these travels. Monitors VPs travel and actively seeks alternative solutions where travel changes occur. Responsible for submitting all expenses on VPs behalf in Concur on time.
  • Communication: works cross-functionally with high level execs, their executive admins and their team leads, across many business units in the company. Maintains a professional demeanor at all times.
  • Team meetings: coordinates all staff and all-hands meetings, team lunches and events, skip-level meetings, etc. while accounting for all relevant logistics. May further need to follow-up on specific post-meeting action items.
  • Correspondence/Approvals: Supports VP by acting as proxy for communications and approvals when authorized. Answers general questions as necessary and refers (filters) routine matters to appropriate parties. Takes initiative to problem solve within specified policies and guidelines. Determines when executive action is required and supplies a recommendation where appropriate.
  • Confidentiality: Handles details of a highly confidential and critical nature relating to workforce and finances in a professional manner.
  • Responsiveness: Completes all work assignments and priorities in a timely manner, while following company policies, procedures, and standards of ethics and integrity. Dependability and reliability are key to succeeding in this role.
  • On-boarding employees: manages ordering of laptops, badges, and any other items necessary for new hires locally and remotely.
  • Willingness to accompany the VP at large Corporate Events, preparing and briefing on the itinerary, and providing continuous executive support.

Who You'll Work With

You will support the VP of Multi-Domain and Data Center Product Marketing. You will also support a Sr. Director in conjunction. You will work closely with the VPs entire leadership team, as well as with other Executive Admins across the entire company. We sit within the Engineering business unit and is a key driver of Ciscos cross-architecture portfolio.

You have experience providing support at the VP level and enjoy lending a hand to help others in the organization. You take initiative, can balance a full desk with ease and thrive in a busy environment. You are extremely proactive, think quickly and have a positive can-do attitude. You are independent and an avid learner that looks for new learning opportunities and pays great attention to detail. You demonstrate excellent teamwork and are approachable; possess extraordinary communication skills with all levels of staff, executives, customers, vendors; and make sound judgments.

Our minimum requirements for this role:

  • 8+ years experience in an administrative role in a technology company; minimum of 4 years of experience supporting a Principal who was at the VP level
  • Proficiency in Microsoft Office applications (Outlook, Power Point, Excel, Word), business and budget management tools, meetings and video conferencing applications
  • Solid track record of performance
  • Experience in planning meetings and coordinating travel
  • San Jose location preferred but not mandatory
  • Associates degree preferred
  • Prior Cisco experience is a plus
