Orrick currently has an exciting opportunity in our San Francisco office for an Executive Assistant providing legal/administrative support in our virtual Service Center.

What is a Service Center Executive Assistant?More than a year ago, we improved our legal secretarial support model to provide tailored support to our attorneys and timekeepers and to provide opportunities for cross-training to our team members. As a Service Center Executive Assistant, you will be an important team member of our virtual Service Center. You and your colleagues across the country will work together to provide full legal secretarial and administrative support to corporate and litigation lawyers, timekeepers and others across offices. In this position, you will also be the first line of support to the San Francisco Public Finance team.

This is the ideal position for someone with legal secretarial experience, especially in Public Finance, who wants to continue to develop their skillset, is a master multi-tasker, and enjoys working both independently and on a team. We are looking for enthusiastic team members who are committed to delivering service at the highest level every single day.

What type of work will I be performing? Variety is the name of the game in this Executive Assistant role. Here are just some of the types of tasks that will fill your busy day:

Workflow: With your super-strong tech skills, you will handle a myriad of support requests using PowerPoint, SharePoint, Box, Excel, Word and other legal applications to produce, edit, format and save legal documents, charts, reports, expense and financial forms, and prepare redlines/comparisons. With your technical know-how, you will organize electronic matter and utilize other firm resources to improve workflow efficiencies. You will also be the primary go-to for support needed by the Public Finance department. Your essential duties will include, but not limited to:

  • Assist in pre-closings, edit and process documents after transaction closings; and assist in preparing closing sets or transcripts
  • Send and request signature pages to and from all parties involved with the closings.
  • Creating deal rooms and uploading documents to Box.com
  • Arrange for publication of legal notices, including interacting with governmental clients, newspaper publication offices and others.
  • Establish and maintain content on Orrick Portal, including data entry and retrieval of data.
The other types of daily tasks will include, among other things, preparing client invoices, vendor bills, expense reports, time entry, audit responses, managing attorney bios, updating contacts in a CRM platform, and notarizing documents for the public finance and other departments.

Preferable schedule is 9:30 a.m. to 6:00 p.m.

Job Requirements:
  • Minimum 5 years of legal secretarial experience in a law firm environment; public finance helpful.
  • Advanced computer skills including .pdf technology, CD creation, cloud-based file management and Microsoft Suite.
  • Excellent written and verbal communication skills.
  • Strong administrative skills in areas of organization, time management, attention to detail and travel and meeting planning.
  • Knowledge of Public Finance procedures/closings, highly preferred.
  • Flexibility, ability to handle multiple tasks and the ability to handle competing priorities.
  • A positive approach to client service and proven ability to work independently.
  • A high school diploma or equivalent; some college preferred.
