Sodexo is searching for an IFM Planner/Scheduler to plan and schedule work activities for maintenance and manufacturing operations teams. Oversee the day to day maintenance operation in a pharmaceutical/life sciences operation in Foster City, CA.

 

Our ideal candidate will be a highly organized and detail-oriented individual who know how to manage overlapping projects, keep track of deadlines, and efficiently use their time. Planners are strong analytical thinkers with problem-solving skills and mathematical abilities, but they are also great communicators who are persuasive and good at presenting information.

The IFM Planner role is part of the Integrated Facilities Management team providing administration support to the IFM team and contractors ensuring that our client and staff are provided with an attractive, safe, accessible and welcoming environment within our global manufacturing clients site.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  •  Analyzes work orders by size, urgency, skill set, location, complexity, and available manpower; and assist operations teams by issuing work orders in a sequential flow to individual technicians or work teams
  • Coordinates the engagement and direction of appropriate subcontractors
  • Work closely with Technicians to stage materials, permits, subcontractors, tools, and another resources necessary to accomplish the work in the most productive manner possible
  • Develop, maintain and distribute work flow processes to the entire account team documenting how work is planned, scheduled and executed
  • Works with management team to optimize the mixes of: planned and scheduled work, scheduled (but not planned) work, and unscheduled work
  • Provides regular statistical reporting to the management team and client showing quantities evidence of the productive use of the work force
  • Uses guidelines set by management, develop, implement, and manage preventive maintenance and life cycle optimization strategies
  • Performs annual review of preventive and predictive maintenance programs to insure current work order system library contains correct frequencies and balanced 12 month schedules for all technicians and vendors
  • Crystal and Tableau reporting
  • Determines appropriate predictive maintenance tasks
  •  Trains the work force in the use of predictive maintenance techniques
  • Analyzes predictive maintenance data for trends
  • Initiates corrective actions as appropriate
  • The general responsibilities of the position include those listed, but Sodexo may identify other responsibilities of the position. These responsibilities may differ among accounts, depending on business necessities and client requirements.

 

GENERAL RESPONSIBILITIES:

  • Performs routine and varied clerical duties in accordance with standard procedures.
  • Performs activities such as photocopying, compiling records, filing, tabulating, posting information and scheduling appointments.
  • Writes types or enters information into computer to prepare correspondence.
  • Prepares issues and sends out receipts, bills, policies, invoices, statements and checks.
  • Maintains records, prepares forms, verifies information and resolves routine problems.
  • Operates various office machines.
  • Opens and routes incoming mail, answers correspondence and prepares outgoing mail.
  • Answers telephone, conveys messages and runs errands.
  • May receive, count and deposit cash, as needed.
  • May include human resources functions (including benefit administration, personnel action forms and payroll processing) for the unit as well as the district and region.
  • Complies with all company safety and risk management policies and procedures.
  •  Reports all accidents and injuries in a timely manner.
  • Participates in regular safety meetings, safety training and hazard assessments.
  • Attends training programs (classroom and virtual) as designated.
  • May perform other duties and responsibilities as assigned.

 

EXPERIENCE/KNOWLEDGE:

  • High School diploma, GED, or equivalent experience.
  • 5+ years related experience.

 

SKILLS/APTITUDE:

  • Presents self in a highly professional manner to others and understands that honesty and ethics are essential.
  • Ability to maintain a positive attitude.
  • Ability to communicate with co-workers and other departments with professionalism and respect.
  • Maintains a professional relationship with all coworkers, vendor representatives, supervisors, managers, customers, and client representatives.
  • Must have basic phone and computer skills (email, texting, etc.).

 

PHYSICAL REQUIREMENTS:

  • Significant walking or other means of mobility.
  • Ability to work in a standing position for long periods of time (up to 8 hours).
  • Ability to reach, bend, stoop, push and/or pull, and frequently lift up to 35 pounds and occasionally lift/move 40 pounds.

Position Summary

Back up to GM; 2nd in command; Supervises the account as the #2 manager and has full responsibility including supervision of other managers. Responsible for entire account when the Director of Facilities Ops is not present.Two scenarios for this position in Univ.:A) Has all facilities rolling up Custodial / maintenance and grounds, and FM who reports to GM; very large integrated operation.B) Mega account multiple managers of maintenance; PM function; other specific managers unifying position.

Key Duties- Manage other managers; manage by walking around (rounding); Staffs, trains, and is responsible for employee development- client interface; - payroll oversight;- budgetary oversight on some services; - Oversees and coordinates projects- Manages work orders/CMMS- Manages mechanicals (i.e. HVAC)- Manages QA and Safety

 

 

Qualifications & Requirements

Basic Education Requirement - Bachelors Degree or equivalent experience

Basic Management Experience - 5 years   

Basic Functional Experience - 3 years work experience in facilities maintenance, plant operations or engineering services
