Sodexo is searching for a Materials Planner/Scheduler to oversee the data services and planning/scheduling team in a pharmaceutical/life sciences operation in Foster City, CA. Our ideal candidate will be a highly organized and detail-oriented individuals who know how to manage overlapping projects, keep track of deadlines, and efficiently use their time.


The Materials Planner/Scheduler is part of the Integrated Facilities Management team providing management support to the IFM team and contractors ensuring that our client and staff are provided with an attractive, safe, accessible and welcoming environment within our global manufacturing clients site.

Key Responsibilities:

  • Serves as Planning and Scheduling Program oversight specialist ensuring all program related policies, processes and procedures are known and held within compliance
  • Work closely with Planning and Scheduling Manager to establish formal planning and scheduling process including key activities and stakeholder communications
  • Communicate with third party vendors directly on specific work orders assignments as captured in Maximo, Gileads CMMS. Does not manage the vendors/contractors but ensures that all the details of the work order are clearly communicated and understood
  • Review periodic reports on Facilities Preventive Maintenance work and coordinate with third party vendors to plan and schedule relevant activities. This includes close collaboration with maintenance, operations, area owners and as applicable, project managers, before equipment is taken out of service
  • Coordinate with each vendor to confirm parts availability in order to proceed with planning and scheduling activities prior to work execution
  • Plan, coordinate and schedule routine and non-routine maintenance, repairs, and facilities activities using Maximo
  • Collaborate with Facility Services personnel and management, service requestors, asset owners, engineers, and outside contractors to plan and schedule maintenance activities and work orders to ensure continuous, optimal operation of facilities and equipment with minimal downtime
  • Leverage CMMS and collaborate with Facilities vendor managers and associated vendors to determine necessary actions, adjustments and workload
  • Develop, coordinate and distribute reports, emails, records and presentations using various software and medium
  • Draft and route facility alerts for approval and distribution as required to support information sharing
  • Communicate facility requirements, schedules and critical program information to vendors, teams and clients
  • Provide a 30/60/90-day schedule to share with relevant facilities team and area owners; compiles/delivers reports regarding the work order execution process.
  • Produce accurate and timely reporting of program status throughout is life cycle.
  • Responsible for short-range as well as long-range planning which involves the regular analysis of backlog
  • Strong analytical and problem-solving skills. Able to identify and resolve issues/problems and define potential deficiencies that could impact Gilead timelines or operations.
  • Identify opportunities to reduce maintenance costs while driving efficiency. Establish key metrics for measuring productivity and backlog.
  • Able to develop and deliver a clear, concise presentation when required
  • Good understanding and application of relevant principles, concepts, practices and standards, and solid knowledge of industry practices for maintenance and engineering


Is this opportunity right for you? We are looking for candidates who have:

  • Bachelors or associate degree in a related technical discipline
  • 5+ years relevant work experience in facilities maintenance, plant operations or engineering services
  • Strong knowledge of Computer Maintenance Management System (CMMS), Microsoft Office Products and reporting tools/applications such as Crystal Reports, Tableau
  • Demonstrated ability to be proactive in problem solving and to lead the resolution of equipment problems
  • Understanding of proper OSHA safety practices and procedures
  • Strong knowledge of work management processes, labor estimating, resource balancing, etc
  • Experience in writing and developing standard operating procedures and business enabling documents
  • Strong oral and written communication skills
  • Demonstrated ability for independent decision-making
  • Must have the ability to overcome obstacles and have the organizational skills necessary to complete assignments in a timely manner
  • Good working knowledge of facilities equipment and O&M requirements
  • Demonstrated experience planning maintenance activities or related experience as a supervisor, foreman, facility engineer, technical specialist or project manager.
  • Broad understanding of facilities maintenance, work order planning and asset management \u201cbest practices\u201d in a GMP environment.
  • Must be flexible and responsive to the needs of the business
  • Excellent organizational and prioritization skills
  • Able to work on multiple activities simultaneously in a fast-paced environment.
  • Able to work with minimal supervision
  • Working knowledge of applicable regulations including 21 CFR Part 11

Position Summary

Back up to GM; 2nd in command; Supervises the account as the #2 manager and has full responsibility including supervision of other managers. Responsible for entire account when the Director of Facilities Ops is not present.Two scenarios for this position in Univ.:A) Has all facilities rolling up Custodial / maintenance and grounds, and FM who reports to GM; very large integrated operation.B) Mega account multiple managers of maintenance; PM function; other specific managers unifying position.

Key Duties- Manage other managers; manage by walking around (rounding); Staffs, trains, and is responsible for employee development- client interface; - payroll oversight;- budgetary oversight on some services; - Oversees and coordinates projects- Manages work orders/CMMS- Manages mechanicals (i.e. HVAC)- Manages QA and Safety



Qualifications & Requirements

Basic Education Requirement - Bachelors Degree or equivalent experience

Basic Management Experience - 5 years   

Basic Functional Experience - 3 years work experience in facilities maintenance, plant operations or engineering services
