Orrick has an exciting opening for an HR Assistant who is ready to be challenged and build a career within an AmLaw Top 100 law firm. This position will be based in our Global Operations & Innovation Center (GOIC) in Wheeling, WV.

In this role you will support HR processes, projects, and initiatives, both locally and across the firm.  You will have a primary focus on talent acquisition, interacting with candidates and hiring managers, as you help facilitate recruiting for open positions.  You will get the opportunity to collaborate with partners across Orrick’s HR function and other cross functional teams.  You will build relationships and be an ambassador of Orrick’s friendly, respectful, and inclusive culture to all candidates and staff members, ensuring a positive and professional experience for all.  

What responsibilities will you have? 

Your responsibilities will include:

 Talent Acquisition:

  • Assist with preparation and tracking of New Employee Requisition Forms.
  • Post open positions to firm website and various/multiple recruiting platforms; i.e.  LinkedIn, Handshake, Indeed, Professional Associations, etc.
  • Perform candidate outreach requesting availability to interview and providing confirmation of details and next steps, as directed by lead recruiter.
  • Schedule seamless virtual and in-person interviews.  Interviews may include groups of participants at all levels, span across multiple time zones and require varying degrees of technology in addition to conference room and catering requirements. 
  • Prepare interview communications for candidates and hiring managers.
  • Greet candidates both physically and virtually as needed.
  • Consistently and accurately update applicant tracking system (LawCruit) with candidate status updates, interview details, and disposition codes.
  • Assist with pre-employment process for both attorneys and staff, including submitting background checks, conflicts checks and completing reference checks as requested.  Perform follow-up communication and outreach as necessary. 
  • Draft offer letters, rejection letters and other correspondence for professional staff and Project Attorney candidates.
  • Register and prepare for in person and virtual job fairs and/or attend and represent Orrick.
  • Maintain and order Orrick swag for career fairs and events.


  • Prepare and submit timely new hire Employee Action Notices (EANs).
  • Facilitate onboarding for new professional staff, Project Attorneys and GOIC Career Associates following established onboarding checklist.
  • Liaise with internal departments to ensure creation of network accounts and email addresses, assigning of telephone extensions, provisioning of technology equipment, workspace allocation, and training.
  • Prepare new hire onboarding agendas sharing with new hire and hiring manager in advance of start date.  Schedule onboarding meetings.
  • Ensure Director of Administration is aware of new employee when onboarding new employees for non GOIC locations.
  • Prepare and maintain GOIC New Hire Orientation packets.  Communicate and share updates to materials as needed.
  • Greet New Hires and participate in New Hire Orientation.
  • Ensure all required new hire paperwork is collected and routed accordingly ensuring compliance.  Participate in I9 process when applicable.


  • Prepare and submit timely Employee Separation Notices (ESNs) for departing employees.
  • Facilitate offboarding for Professional Staff, Project Attorneys and GOIC Career Associates following established Offboarding checklist.
  • Send standard departure memo to employee.
  • Schedule exit interviews.
  • Send departure notification to internal departments.  Work with IT to facilitate return of firm technology equipment.

HR Operations:

  • Develop familiarity with HR policies and procedures with ability to respond to employee inquires.  When necessary, research correct answers following up appropriately.
  • Escalate issues/questions to appropriate HR resource as needed.
  • Prepare Employee Action Notices (EANs) as directed and forward to HRIS for timely entry in Peoplesoft.
  • Schedule meetings both in-person and virtual.
  • Maintain, update, and revise human resources forms and files.
  • Process expense reimbursements, prepare Payment Funds Requests for invoices delegating to internal resources where possible.  Process relocation expenses.
  • Monitor department expenses against allotted budget. Review budget variance reports and follow up with Accounts Payable to correct discrepancies. 
  • Coordinate archive and retrieval of files when necessary.
  • Complete special projects as necessary.

Your Knowledge, Experience and Education:


  • Bachelor's Degree in Human Resources, Business Administration or related professional discipline required or an equivalent combination of education and experience.
  • PHR or SHRM-CP certification considered a plus.


  • Two+ years demonstrated administrative experience in a professional services environment. Minimum of one year of Human Resources administration experience preferred.


  • Demonstrated skills in all aspects of recruiting in a multi-site organization (job posting, reference checking, scheduling, and administering various tests).
  • Superior interpersonal and communication skills, professional demeanor, and the ability to interact effectively with all levels of firm personnel, candidates, external recruiters, and other vendors.
  • The ability to respect, protect and maintain highly confidential and sensitive information.
  • Exceptionally strong organization skills and the ability to prioritize changing and competing projects and tasks. The ability to multi-task numerous requests and take direction from several individuals is required.
  • Ability to communicate clearly and efficiently verbally and in writing.
  • Demonstrated attention to detail.
  • A client service-oriented mindset is critical. 
  • Experience in processing expense reimbursements, processing invoices for payment, and monitoring department expenses to stay within allotted budget.
  • Preferred systems skills should include Microsoft office suite, including Word, Excel, and PowerPoint. Experience with Zoom and MS Teams with the ability to learn more advanced functions of excel and other computer applications. Experience with PeopleSoft, LawCruit, or other HRIS and ATS systems highly preferred.
