Human Resources Coordinator

Zoot Enterprises, Inc. is now accepting applications for a Human Resources Coordinator. The Human Resources Coordinator is responsible for owning and supporting the HR team with a variety of tasks and initiatives in its mission to help drive employee success.  In conjunction with the VP of HR and the Zoot HR team, the position will own or support general HR department functions and tasks, including recruiting and onboarding new hires, benefits administration, performance management, compensation changes, recognition programs, and personnel records management.  The position will also play a key role in helping develop, lead, and administer employee trainings on a wide range of topics, including employment guidelines, business think, and skills/competencies development, and will help plan and execute additional trainings that promote employee and manager development.  Finally, the position will help drive our corporate wellness initiatives, including planning and execution of programming, marketing and promotion to employees, and tracking of participation and incentives.

Essential Job Functions



 


Human Resources (50%)



  1. Own and execute tasks that support our HR functional areas and initiatives for all Zoot entities.

  2. Process employee changes (new hires, pay/title/department changes, terminations) in HR information systems and other systems of record.

  3. Perform benefits administration tasks, including enrollment, changes, terminations, and other recordkeeping to ensure information is accurate.

  4. Provide support for recruitment efforts as needed, including assisting with interviews, job postings, and scheduling.

  5. Help administer our employee onboarding program, including preparing new hire schedules, new hire binders, initial paperwork, and Day One tasks to ensure employees have a great initial Zoot experience.  Follow up with the new hire and appropriate internal parties to ensure proper set-up and manage new hire processes within Zoots systems.

  6. Administer new hire feedback program.

  7. Administer and organize employee paper and electronic personnel folders.

  8. Administer HR compliance items, such as mandatory postings, and assist with Affordable Care Act, Affirmative Action Program, and EEO/VETS tracking and reporting.

  9. Ensure HR processes are documented and followed.

  10. Administer length of service recognition program and other recognition efforts to ensure recognition is timely and expenditures are properly accounted for.

  11. Administer Human Resources information on company intranet and other locations to ensure employees have access to timely, accurate materials.



 


Training and Development (40%)



  1. Develop and deliver employee, manager, and company-focused curriculum and training programs, with assistance from managers or other subject matter experts.  Modify trainings as needed, based on feedback or changing needs.

  2. Leverage Zoots competency library and defined role competencies to develop and prioritize training.

  3. Utilize existing Zoot learning and development tools and processes to develop training.

  4. Analyze aggregate performance reviews, professional development plans, or other feedback to develop, propose, and prioritize additional training programs that align with business needs.

  5. Obtain and/or develop effective training materials utilizing a variety of media.

  6. Conduct follow-up studies of completed trainings to evaluate and measure results.

  7. Develop and maintain organizational communications to ensure employees have knowledge of training and development events and resources.  Maintain and promote a complete catalog of course offerings using tools that make it easy for employees and managers to consider and attend trainings.

  8. While most training delivery will occur in a classroom/presentation setting, develop different methods to effectively deliver select training content to both remote employees and employees who are on-site.

  9. Work with managers to provide employee career planning and professional development guidance and support, centered around tools like the professional development plan template, Zoots competencies, and course offerings.

  10. Maintain training records for employees.



 


Wellness (10%)



  1. In conjunction with the Health and Wellness Specialist and Wellness Committee, help design and execute wellness programming efforts that align with Zoots wellness vision, strategy, and tenets.

  2. Track wellness participation data accurately and efficiently. Administer wellness incentive programs.

  3. Create and maintain pages on OZ to promote Wellness programming, event signups, and other resources.  Communicate wellness programming opportunities to Zoot employees, using a variety of methods (e-mail, posters, etc.).

  4. Coordinate with external vendors and wellness providers to ensure access to Zoot is fair and consistent, but also controlled.  Maintain database of providers and information that is accessible for Zooters.

Education, Training, and Experience



This position requires:



  • High School Diploma.  Bachelors Degree in Human Resources, Training or Education, Instructional Design, Business, Communications, or a related field is highly preferred.

  • 2+ years of professional work experience is required.  Previous experience working with HR functions, development and/or leading trainings, or working to manage the administrative functions of a business is highly preferred.  Or, an equal combination of education and experience.

  • Effective communication skills (written, presentation, and verbal)

  • A high attention to detail with tasks and the discipline to be process oriented

  • Exhibiting compassion and empathy toward others

  • Maintaining composure when dealing with difficult situations

  • Finding ways to be creative and innovative within certain parameters; tries to improve existing options before pursuing new ones

Physical Requirements



  • All positions at Zoot require the ability to move about inside an office environment, which includes the operation of computers and other office productivity machinery and frequently communicates with other employees, clients, vendors, and visitors.

  • This position specifically requires this position requires long periods of sitting or standing at a computer workstation.

  • This position may be infrequently required to lift items weighing up to 25 pounds; however, equipment or other personnel are available to assist.



Working Conditions





  • This position will take place primarily in an office setting.

  • This position is ever-changing, requiring flexibility, self-initiative, and regular management of changing priorities.

  • Occasional travel to our Billings office may be required.
