The Medical Records Specialist is responsible for processing medical records requests received from various sources and ensuring that records are handled according to protocols and expedited in a timely manner.

 

Primary Responsibilities:

  • Reviews incoming requests for medical records (e.g. physical mail, email, e-fax) and ensures proper authorization is on file
  • Processes requests for medical records release within required turnaround time and maintains accurate logs
  • Scans/uploads documents and time stamps requests in electronic medical record (eCW)
  • Forwards requests to legal department for approval when necessary
  • Documents each transaction thoroughly and accurately in standardized form in EMR
  • Ensures all pertinent correspondence is scanned and/or filed in a timely manner
  • Ensures records and files are stored and managed in accordance with files/records management procedures and regulations
  • Ensures confidentiality regulations and rules (e.g., PHI, HIPAA) are complied with when filing or storing documents
  • Prepares billing statement and ensures receipt of payment in full prior to fulfilling requests
  • Communicates with requesting entities as needed for additional information, clarification of requests, etc.
  • Performs all other related duties as assigned

Required Qualifications:

  • High school graduate or GED equivalent
  • 2+ years of experience in medical records
  • Computer literacy
  • Ability to follow established procedures and rules
  • Knowledge of medical office procedures
  • Ability to sort and file materials correctly by alphabetic or numeric systems
  • Ability to establish and maintain effective working relationships with patients, employees, and the public
  • Familiar with patient confidentiality protocols
  • Ability to lift up to 50 pounds

Preferred Qualifications:

  • Knowledge of medical terminology
