The office coordinator is vital to championing and nurturing a healthy, enduring culture in our Seattle office. This means engaging with people, eagerly pitching in on whatever needs to get done and confidently solving problems.

The office coordinator performs and oversees concierge tasks which ensure that our external visitors, callers, clients, and vendors, as well as Dowbuilt employees, have a positive and professional Dowbuilt experience. A customer service mindset and the ability to juggle multiple priorities are key to creating incredible, memorable experiences both inside and outside of Dowbuilt.  This position will also work closely with the Internal Communications Manager to further support the employee experience through assisting with events, apparel, and newsletters.

  • Answer front desk phone
  • Greet and direct visitors to the appropriate party
  • Manage shipping/receiving for Seattle office:
    • Package and prepare outgoing mail and deliveries, sign for incoming items and certified mail
    • Open and distribute all office mail
    • Ensure all outgoing mail is delivered to USPS, UPS and FedEx at the end of each business day.
  • Monitor office supply inventory and place orders weekly, keep supply area organized and stocked
  • Maintain organized and tidy common spaces in the office, including the lobby and kitchens
  • Provide facilities management assistance to Seattle office:
    • Provide keys and alarm instructions to new employees of the Seattle office; manage the building's key box
    • Maintain Seattle office seating chart
    • Review and approve office-related billing; properly code all invoices in a timely manner. Monitor office vendors to ensure they are delivering the correct services
  • Troubleshoot copier/printer, computer, and basic software issues as needed. Refer large issues to IT department
  • Fax, scan, copy, sort, and file documents as needed
  • Provide staff with administrative assistance upon request
  • Manage conference room scheduling; train employees on electronic scheduling as needed
  • Update and review Operation Systems Manual and Front Desk manual

Qualifications and Skills:

  • High School Diploma or GED
  • 3 years of administrative experience
  • High level of proficiency with MS Office Suite (Outlook, Excel, Word)
  • Experience with web-based solutions such as Smartsheet, ShareFile, Slack and Asana
  • Familiarity with Bluebeam and/or Adobe Acrobat
  • Some experience with InDesign and/or Illustrator
  • Notary Public is strongly preferred
  • Exceptional communication skills, both written and verbal
  • Strong organizational skills and ability to juggle competing deadlines and projects
  • Flexible and adaptable: the ability to switch gears and work well within ambiguous circumstances
  • Ability to establish and maintain effective relationships with management, employees, vendors, and the general public
  • Impeccable attention to detail and ability to follow through in a timely manner
  • Tactful, caring and diplomatic
  • Be a team player with a positive attitude
  • Operate with a high level of integrity and emotional intelligence
  • Ability to seek solutions and resolve problems independently
  • US work authorization
