Regulatory Affairs Administrative Assistant

**Position Purpose**

The main functions of the Regulatory Affairs Assistant are:

+ Provide administrative support to all colleagues in the Regulatory Affairs team located in Costa Rica, mostly related with meetings, traveling, supplies, tender processes, samples import/export, reception of regulatory and legal documents.

+ To support Regulatory Affairs Head in special projects related to administrative activities.

+ This role reports to the Head of Regulatory Affairs Central America and Caribbean Cluster.

+ Key point of contact for Regulatory Affairs Managers, Coordinators and Analyst and Tender support platform

**Primary Responsibilities**

+ Ensure an appropriate control of regulatory affairs correspondence: In charge of archiving process of regulatory affairs documents received. To assure the appropriate tracking and reception of the documents by the internal owner of the documents received

+ Ensure an appropriate control of legal local documents: Coordinate with local legal department the legalization process of regulatory documents according the internal needs from regulatory affairs, managers, coordinators and analyst.

+ Registration samples' management: Coordinate with local PCO/RRHS/logistic and distributors within the region, the importation process of samples required for registration proposes as working standards and finished products, being the responsible of coordinate the reception in each destination country.

+ Administrative Support: Support different administrative processes accordingly establish priorities.

+ Internal meetings: Organize and follow up of all activities involved in the departments agenda, such as phone calls (local and international), conference calls, meetings and pending issues.

+ Traveling support: Coordinate the logistic of different activities such as:. hotel reservations, technical equipment, visitors transportation, organized coffee breaks and lunch, attending participants, and so on.

+ Others: Administrative Support to other matters assigned by the Regulatory Affairs Head-Manager/Coordinators/Analyst

+ Key point of contact for local tender support platform to provide information related to tenders for all the countries of the region, according their needs. Support additional tender requirements from the regulatory affairs managers, coordinators or analyst as needed.

+ Active participation or coordination of specific administrative projects demanded by Regulatory Affairs Head, related to archiving process, budget control, Regulatory Sharepoint, etc

**Minimum Requirements**

+ University or professional studies preferred.

+ Must have the minimum experience of two years as an administrative assistant of highly sensitive and regulated complex processes in departments such as regulatory affairs, medical areas

+ Demonstrated success in management and effective optimization of standards in information systems.

+ Successful teamwork experience, seeking and proposing alternative solutions, achieving goals in an inclusive manner.

**Technical Skill Requirements**

+ Archiving skills of sensitive documentation

+ Proficient in Systems, ERPs and MS Office Advanced

+ Planning and Organization skills

+ Tracking and ability of prioritization

+ Quality Focus

+ Customer Orientation

+ Effective Communication

+ English Intermediate both communicating and writing skills
