**DIGITAL Assistant/Senior DIGITAL Assistant**

1. Responsibilities to Digital Client Partner Country Lead:

- Work together with Digital Lead on effective management the department and development of a strong team culture;

- Manage Digital Lead's daily calendar by coordinating appointments, meetings, and travel plans, as well as ensures that all necessary materials and information are ready and complete;

- Support Digital Lead on conference or Business event registration;

- Support Digital Lead to partnership with external peers, suppliers, service providers and partners

- Assist Digital Lead to reimburse daily expenses;

- Responsible for department cost center reports and financial targets;

- Support Digital Lead to complete department talent review process and demonstrate progress on development plans for key talents, including development and executing department wide training programs;

- Provide administrative support to in terms of office management, and internal/external communications with partners, customers, and colleagues in China and HQ;

- Build relationships with counterparts both internally and externally effectively;

- Provide English/Chinese translation for both internal and external meetings upon request;

- Keep and maintain an orderly filing system;

- Take responsibility for special projects when necessary;

- Prepare and edit correspondence, communications, presentations and other documents;

- Manage and maintain schedules, appointments and travel arrangements; arrange and coordinate meetings and events;

- Monitor, respond to and distribute incoming communications;

- Answer and manage incoming calls;

- Receive and interact with incoming visitors;

- Liaise with internal staff at all levels;

2. Responsibilities to Team:

- Guide for new staff enrollment preparation and orientation in Shanghai; Provide all possible guidance and instruction on other assistants/interns capacity improvement;

- Be familiar with and effectively implement company operation policies and maintain compliance; Review operating practices and implement improvements where necessary; Provide general support to ensure teams efficiency.

- Be responsible for department meetings and relevant activities coordination;

- Support Shanghai based team leaders reports of Digital lead, on their expense report and travel plan;

- Act as the Team contact person, cooperate with other division's key contact person and assistant to facilitate daily operation and guarantee effective communications;

- Be responsible for purchase order submission and monitoring payment; Manage and maintain vendor contracts;

- Conduct research, assemble and analyze data to prepare reports and documents; Be responsible for department expense analysis and follow up;

- File and retrieve documents and reference materials;

- Keep team informed for most update internal contacts, such as telephone extension, department organization chart, and work distribution etc. ;

3. Education/Training:

- Bachelor's Degree or above, Knowledge in Finance and Accounting is a plus;

- Excellent command of English and Chinese, both oral and written;

- Proficient computer skills and in-depth knowledge of relevant software such as MS Office suite;

- Knowledge of standard office administrative practices and procedures;

4.Working Experiences:

- Relevant administrative experience in multinational companies preferred;

- 3+ years working experience preferred.

- Excellent communicator and strong interpersonal skills, be capable to develop collaborative relationships with others who have a diverse set of working styles and perspectives;
